This policy explains what Loka stores when a shop runs its website and dashboard on our platform, and when a visitor uses that shop’s public page.

1. Who we are

Loka is software for local shops in Laos. A shop can publish a multilingual website, take bookings, list phones for sale, take offline payment orders, run phone buyback / trade-in quotes, collect leads, and view basic website analytics in a dashboard.

The shop you visit is responsible for its own services, prices, stock, and how it replies to you. Loka provides the hosting software and stores the data described below so that shop can operate.

2. Information from customers on a shop page

Booking: name, phone number, optional email and note, chosen service, staff member, date and time, and a booking code. The shop uses this to confirm and manage the appointment.

Sales order: name, phone number, optional note, the catalog item, quantity, payment method (for example QR or bank transfer), order status, and order code. If you upload a payment receipt image, that file is stored so the shop can confirm payment. Loka does not take card payments and does not hold the money.

Buyback / trade-in: answers about the device condition, estimated price shown by the shop’s rules, optional customer details, and photos (such as screen, back, and frame). The shop uses these to quote and inspect the device.

Lead / call-back form: name, phone number, and optional note when a shop shows that form. The shop uses it to contact you.

Lookup: a phone number plus booking or order code entered to find an existing record is used only to match that record for you and the shop.

Website analytics: page views and contact-button clicks (for example WhatsApp or phone) may be counted for that shop’s dashboard. These events are not sold as advertising profiles.

3. Information from shop accounts

When a merchant signs up or signs in, we store account details such as name, email, password hash or one-time login codes, and optional Google or Facebook login links. Sessions keep you signed in to the dashboard.

Shop setup stores organization membership, business profile (names, descriptions, address, map links, contact channels), photos, opening hours, staff, services or catalog, payment instructions (QR / bank details), website template and publish status, and optional custom domain settings.

To notify the shop of new bookings or orders, Loka may send messages through channels the shop or platform configures (for example a webhook or WhatsApp Cloud API). Message content includes what is needed to handle that event.

4. Who can see the data

Customer submissions for a shop are shown to that shop’s signed-in staff in the dashboard. Platform operators of Loka may access records to run, secure, and support the service, or when a shop asks us to delete data.

We do not sell customer phone numbers or booking details. We do not use them for unrelated advertising.

5. How long we keep data

Customer bookings, sales orders, payment receipts, buyback requests and device photos, and related lookup data are kept for 24 months after the appointment, order, or request date, then deleted. If the shop account is closed earlier, tenant records are removed with that account.

Merchant account and shop configuration stay while the shop account is active. Operational backups and error logs may exist for a limited period for reliability and security, then are discarded under our retention practice.

6. Cookies and similar technology

Merchant dashboards use session cookies (or equivalent) so you stay signed in. Public shop pages may store short-lived technical data needed for forms, locale, and rate limits.

Customers do not need a Loka account to book, order, or request a buyback price on a shop page.

7. Access, correction, and deletion

Customers: to change or delete your booking, order, receipt, or device photos sooner, contact the shop using the phone or chat links on that shop’s page. Name the booking code, order code, or phone number you used. The shop then asks Loka to delete the record and files.

Merchants: you can update most shop profile data in the dashboard. To close an account or request a full wipe, contact Loka using the details at the bottom of this page.
